Condition and provenance detail

The fields that matter when you are describing a collectible are on the record itself, not buried in a note.

Condition grades from mint through excellent and good to fair.
A serial, reference, or catalogue number field for the identifiers you already use.
Up to 12 tags per item for edition, format, finish, or anything else you sort by.
Private notes for provenance, repairs, and the story you would otherwise forget.

Values you record yourself

Value tracking here is a record of your own opinion over time, kept honestly as such.

Enter an estimate in your workspace currency whenever you want to.
Each change is stored as a dated entry, up to 24 per item, with the increase or decrease shown against the previous figure.
The overview totals the recorded value of owned items only, so wishlist entries never inflate the number.
Every value is labelled as your estimate throughout the product.

Photographs that stay private

Photographs of a collection are worth protecting, so they are treated as private files rather than page assets.

Attach up to 4 photos per item at 5 MB each, in JPEG, PNG, or WebP.
Uploads are checked for type and size, and reads are verified against your own account before a file is returned.
Photos are excluded from shared pages and from both export formats.
Deleting an item removes its photos from storage as well as its record.

What it deliberately does not do

Any tool for this job is only worth choosing once its limits are clear, so here are KeepsakeGrid's before you start typing in records.

Recorded values are your own estimates. KeepsakeGrid never presents them as appraisals, insurance values, or live market prices.
There is no barcode lookup, licensed catalogue data, or automatic pricing. Every record is one you type or import.
Private notes, serial numbers, wishlist items, photos, and valuation history are never included in a shared page.
There is no barcode or ISBN lookup, no grading service integration, and no insurance or appraisal report.

Questions about collectible inventory software

Can I keep a want list alongside my collection?

Yes. Every item has an owned or wishlist status, and switching a wishlist entry to owned keeps the record, its tags, and its notes intact.

Does it track what a collectible is worth?

It tracks what you say it is worth. You record an estimate, and KeepsakeGrid keeps a dated history of your changes. It does not fetch market prices or produce a valuation.

Can I show a collection to someone without giving them access?

Yes. Enable a read-only link for one collection and share the address. Only owned items appear, with names, makers, years, conditions, values, and tags. Disabling the link stops it working immediately.

How many items can one account hold?

A workspace holds up to 400 items across 30 collections. The import preview tells you in advance if a file would exceed the remaining room.
