Everything you record about an object

One record holds the details you would otherwise keep in a spreadsheet, a photo roll, and a drawer of receipts.

  • Name, maker or publisher, and year.
  • Condition from mint to fair, plus an owned or wishlist status.
  • An estimated value in your workspace currency, with up to 24 value changes kept per item.
  • A serial or reference number, up to 12 tags, and private notes.
  • Up to 4 private photos per item, 5 MB each, in JPEG, PNG, or WebP.

Find any object again

Search runs across the whole workspace, not one collection at a time, so you can look something up before you buy a second copy of it.

  • Search matches names, makers, years, notes, serial numbers, tags, and collection names.
  • Filter by collection and by owned or wishlist status.
  • The overview shows recently updated objects, recorded totals, and how your items are spread across collections.

Your data stays portable

Collection software is only worth trusting if you can leave with your records.

  • Export JSON with editable records and value history, or CSV for a spreadsheet.
  • Import a JSON backup or a CSV with Name and Collection columns, up to 400 rows.
  • The import preview counts valid rows, lists row errors, and skips duplicates before anything is written.
  • Turn a read-only link on for a single collection, and turn it off again whenever you like.

What it deliberately does not do

Any tool for this job is only worth choosing once its limits are clear, so here are KeepsakeGrid's before you start typing in records.

  • Recorded values are your own estimates. KeepsakeGrid never presents them as appraisals, insurance values, or live market prices.
  • There is no barcode lookup, licensed catalogue data, or automatic pricing. Every record is one you type or import.
  • Private notes, serial numbers, wishlist items, photos, and valuation history are never included in a shared page.
  • KeepsakeGrid is single-account software. There are no shared household workspaces, invited editors, or roles.

Questions about collection management software

What kinds of collections can I manage?

Any kind. You create the collections and decide what belongs in them, so records, coins, cameras, comics, pens, models, and one-off keepsakes all use the same flexible record.

Does the software look up prices for me?

No. Every value is one you enter yourself, and it is stored and labelled as your own estimate. There is no market feed, no appraisal, and no insurance valuation.

Can I move my collection out later?

Yes. JSON and CSV exports are available at any time from the settings page, and the JSON export keeps the editable records along with recorded value history.

Who can see my collection?

Only you, unless you explicitly enable a read-only link for one collection. That page shows owned item names, makers, years, conditions, values, and tags, and never notes, serial numbers, photos, wishlist items, or your email address.
